# How to brand an event, from poster to stage

**List every place the brand will appear before designing, turn the theme into a few visual rules, design the sponsor deck as carefully as the posters, and keep the kit simple enough for the organising team to use. That's how my E-Summit 2023 identity held up for 11K+ attendees.**

## What event branding has to survive

Event branding is the visual and verbal identity of a single event: its name treatment, theme, colour, type and graphic elements, applied to everything from the first teaser post to the thank-you certificate. Unlike a company brand, it has a hard deadline and a crowd of people making assets at the same time.

E-Summit is IIT Roorkee's entrepreneurship conference, one of the largest student-run ones in India. For the 2023 edition I was design lead for branding and the website, with a team of 5 designers and 3 developers working alongside the organising committee from December 2022 to the event in February 2023.

- **11K+** Attendees
- **₹25L+** Sponsorship raised
- **5M+** Social media impressions

## Write the touchpoint list before the logo

Most event identities break because they were designed for a poster and then stretched onto everything else. So the first document I make is a list of surfaces, grouped by when they're needed. For E-Summit it looked roughly like this:

| Phase | Touchpoints |
| --- | --- |
| Months before | Theme reveal, teaser social posts, website, sponsorship deck, letterhead |
| Weeks before | Event posters, speaker announcements, registration and login screens, passes |
| On the day | Stage backdrop, standees, banners, ID cards and lanyards, brochures, team merchandise |
| After | Thank-you certificates for sponsors |

Reading distance changes from row to row, from a phone held at arm's length to a backdrop seen from the back of an auditorium, and that decides how much detail the identity can carry.

## Turn the theme into rules

The theme was "Reminiscing the Ethos: Bharat", in the year IIT Roorkee completed 175 years. The easy route was festival visuals like floral ornament, Mughal arches and Devanagari-style letterforms. They all went on the moodboard and I struck them all off, because the result would have looked like a festival poster, which investors don't take seriously.

Instead I drew from pre-industrial Indian craft and boiled it down to a few repeatable rules: a compass motif as the anchor, an earthy palette of saffron, sand, terracotta and browns, Lexend for headings and Nunito Sans for body text. The E-Summit logo itself combines an E and an S, and only its colour changes from year to year, so the theme lived in the system around it.

## Design for sponsors as carefully as for attendees

For many sponsors the sponsorship deck was their first contact with E-Summit, and it decided whether the event looked credible and worth money. I treated it as a high-trust document instead of a print export of the posters: calm layouts, the logo and compass, and room for the facts.

Sponsors also show up inside your identity, on standees, the stage backdrop and certificates. Plan sponsor lockups early and set rules for how a sponsor's logo sits next to yours. The event raised ₹25L+ in sponsorship, including ₹10L+ from a single sponsor.

## Reveal the identity in stages

The campaign revealed the identity gradually through teaser posts and event announcements, so each post added something new and people knew the look before they arrived. Across the campaign, E-Summit's social posts reached 5M+ impressions.

## The event website: schedule and tickets first

The website has the opposite job to the posters. Most visitors arrive cold from a link or a poster, so it's the information hub: schedules, speakers and tickets quick to find, with the brand setting the mood and staying out of the way of buying a pass. On the E-Summit site, each competition page leads with what happens when, as a timeline of rounds, before the description.

The first screen should answer what and when. For Cognizance 2023, IIT Roorkee's tech fest, the site I designed opens on the theme, Cosmos Renascence, and the dates, 24 to 26 March, over a single illustration. Someone who saw a poster can confirm they're in the right place before they scroll.

Today I design and build event and marketing sites in Framer, which suits event timelines: the organising team can update the schedule and speakers themselves without waiting on a developer.

## How an event branding project runs

1. **Theme and direction, about two weeks**: A moodboard, a decision on what to keep and what to drop, then the core elements.
2. **Sponsor deck and website early**: Sponsors decide early and the site sells tickets, so these go ahead of the bulk of the posters.
3. **Campaign and print templates**: Teasers, event posters, passes and signage, set up as templates the team can fill in.
4. **Event week**: Stage screens, standees and last-minute requests, each checked against the system.

E-Summit, with every surface in the list above, used the full stretch from December to February. A smaller conference with fewer surfaces can be done in four to six weeks if the theme is settled early.

## Event branding ideas that work at any budget

- One motif you can crop, scale and repeat. The compass worked as a full graphic on a hanging poster and as a faint watermark on the deck covers.
- A short palette with names, so volunteers say "terracotta" instead of "that brown one".
- Templates for every recurring post type: speaker, event, sponsor, countdown.
- Print specs (sizes, bleed, paper) agreed with the printer before design starts.
- Merchandise the team will wear. E-Summit's were black hoodies with type on the front and the logo on the back.
- A one-page guide for the organising committee. With 11K+ attendees, people who weren't designers had to be able to use the system.

[E-Summit, IIT Roorkee case study](https://www.utkarshdesign.com/work/e-summit): The full identity, from logo and palette to passes, sponsor deck, stage and website, with the decision behind each result.

For a conference or startup event, I take on the identity, the team kit and the website as part of my brand and design systems work.

## Questions people ask

### How early should you start branding a conference?

Early enough to have the sponsorship deck ready when sponsor outreach starts. E-Summit's identity work ran from December 2022 for a February 2023 event.

### Should an event brand match the organiser's brand?

It should be clearly related but free to carry its own theme. E-Summit keeps the same E and S logo every year and changes only its colour, while each edition gets its own theme.

### Can volunteers make posters with the system?

Yes, that's what it's for. At E-Summit I mentored 5+ designers through critiques and reusable components, which cut visual rework under deadlines.

### Do you design the event website as well?

Yes. For E-Summit I led the website alongside the identity, and today I design and build event and marketing websites in Framer.
